Description:
The City of Palo Alto's Department of Planning & Community Environment is seeking an Administrative Assistant to support the work of the Department Director and Assistant Director. This position is in the City's Management and Professional work unit. Incumbents are responsible for performing complex, and sometimes confidential administrative tasks, and may be asked to supervise other department administrative staff as needed.
This position will primarily support the Director and Assistant Director of Planning by maintaining their calendars, assisting with day to day correspondence, including emails and phone calls, and overseeing the internal routing of City Council staff reports. The Administrative Assistant will also be responsible for: ensuring completion of timecards by Department staff and managers, coordinating Department responses to Public Records Act requests, overseeing Department compliance with records retention policies, and ensuring timely completion of Department staff performance evaluations. Other duties may include coordinating internal and external (public) meetings, and preparing power points, spread sheets, and other presentation materials at the direction of the Director or Assistant Director.
This position is distinguished from other City administrative classifications by its reporting relationship, and the increased level of participation in management activities requiring a working knowledge of the organization and programs. Incumbents in this position use independent judgment in developing work methods and procedures.
